Position Description
Oversees a section in Accounting Services; coordinates activities of personnel to carry out departmental objectives related to assigned funding sources and/or systems management to include interpretation and compliance of relevant regulations, policies and procedures.

Major/Essential Functions
  • Analyzes and reconciles funds in Banner to ensure revenues and expenditures are correct and match with TMA. Researches and resolves discrepancies and ensures the appropriate audit trail is in place. Prepares reports to submit to supervisor.
  • Reconciles engineering and acquisition projects between Banner, TMA and Excel. Collaborates with Engineering, Business Services departments, and Contracting department to ensure transactions are appropriate and coded correctly. Responsible to have updated information readily available to be used by management.
  • Oversees and sometimes performs task of billing Service Work Orders in the FiTS system and TMA. Ensures Work Orders are appropriately coded for billing and are posted in TMA. Follows up on to resolve any issues and ensures correct funds are used.
  • Oversees the payment of utilities and ensures bills are paid timely. Assists in resolving billing issues with the utility companies. Analyses trends and reconciles database with Banner.
  • Responsible for invoicing external customers for events and reimbursements. Accountable for monitoring and reconciling payments. Follows up on outstanding bills. Prepares and deposits checks and cash received and enters them in the Cash Receipt System.

Occasional Duties
  • Processes budget revisions and cost transfers. Analyses the fund and ensures the transaction is appropriate. Performs other duties as assigned by supervisor.
  • Responsible for the Recycling Program activity. Follows up on payment of receipts and maintains Excel spreadsheet with detail information.
  • Responsible for the Annual Physical Inventory. Records, tags, and distributes assets as determined by policy. Updates the Financial Inventory System as necessary.
  • Assists in the annual budget preparation. Prepares applicable analyses and reports.
  • Serves as the Senior Director delegate and makes decisions in her/his absence.

Required Qualifications
  • Bachelor’s degree in a job related field plus three years’ experience related to the assigned area; OR
  • A combination or education and/or related experience equal to seven years.
