Position Description

Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions
-Maintains and updates records of orders in TMA. Responsible for posting purchases of materials and services to corresponding work order or other maintenance tasks.  Performs routine reconciliations of inventory on-hand versus electronic records. Enters and verifies inventory records in TMA.
-Maintains supply inventory ensuring adequate supplies levels are stocked at all times.  Interacts with vendors for bids.
-Prepares purchase requisitions to procure needed materials either for restock or work order needs. Scope: -2000-300 procurement transactions per year.
-Receives and checks supplies against packing slips and purchase orders for quantity and condition.
-Checks on status of orders, including checking on shipping delays and lost shipments.
-Assists Warehouse Manager with the issuance of tools, parts and supplies to Plant Operations employees and other departments as needed.
-Performs physical count of inventory by conducting daily analyses to forecast potential inventory issues.  Performs routine reconciliations of physical inventory and TMA inventory records.
-Prepare detailed reports on inventory operations, stock levels, and adjustments.
-Performs other related job duties as required and assigned by supervisors.
-Assists in entering product/vendor data on parts into the inventory system.
-Performs market research to investigate supply chain options and sources to assist in efficient, cost effective, procurement of goods and services. Performs and assists on cost studies.
-Must operate state vehicles to pick up parts or drive to the job site.  Must have and maintain valid State of Texas Drivers License and be listed as an approved driver as determined by Risk Management and insurance carrier.  Must be able to pass the employee Criminal Background Check.
 
Manages inventory through TMA, a facility maintenance management system, and maintains levels required on a daily basis to meet distribution demands. Monitors and reports on the inventory levels of Physical Plant.  Responsible for developing inventory tracking systems, reviewing levels of supplies, ordering new materials, and performing daily analyses.  Record-keeping and analytical abilities are essential as well as excellent organizational and problem-solving skills.  Work is performed under general supervision with evaluation based on results obtained.

Preferred Qualifications
Prefer prior experience in procurement or business operations with a focus on facilities/plant  maintenance.  Extensive knowledge and experience in inventory management and warehouse administration. Purchasing for a large operation or institution including State or University purchasing. Excellent communication skills, both written and verbal.

-As a primary contact between Physical Plant stores, the customer and outside vendors, an individual in this position should possess a high degree of business acumen with a focus on professionalism in tandem with strong customer service skills.
-These qualifications will play an important role in meeting the responsibilities of the position and in handling a variety of duties in the operation of PP stores.
-Strong organizational skills with an attention to detail is essential to maintaining strict inventory control.
-Employee must be able to work productively and effectively in a fast-paced environment.
-Good working knowledge of Microsoft Office applications.
