Position Description
This position is responsible for assuring smooth operation of the clinic patient flow. Employees serve as primary contacts for patients and are responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees may have cash handling responsibilities.

Major/Essential Functions
- On a daily basis serves as primary contact for patients by receiving them when they arrive to clinic. Greets all patients, takes a brief history for physician to review. Takes vital signs as needed, escorts patients to exam rooms and prepares them for examination by physician, when visit complete must turnover room for next patient. Per direction from physician, provides wound care and dressing changes. Is the lead for CMAs and directly supervises subordinate CMAs, works to ensure appropriate coverage is in place for smooth clinic operations. Ensure they and staff complete the visit note and sent to referring physician at the end of the visit
- Reviews medical charts for completeness prior to patient's arrival and obtains all pertinent reports/documents (lab, path reports, operative reports, discharge summaries, and imaging reports). Follows-up with patients to return to clinic once lab or imaging results are obtained. Contact patients for surgical procedure scheduling or treatment. Ensures electronic visit note has been completed
- Prepares patients for special procedures to include minor surgery, reinforces consent form for surgical procedures and obtains signature. Assists physician in minor surgical procedures (serving as scrub or circulator)
- Review all medical supply and medication inventory to remove and re-stock any items which may be close to or expired date. Clean and organize all examination rooms and work areas
- Prepares specimens for lab and takes to participating facility Pathology Department
- After minor surgical procedure, cleans and prepares instruments for sterilization
- Assists the Head Nurse in Joint Commission Preparations, and ensures compliance of Joint Commission and other regulatory agencies
- Assist the clinic front area to include answering incoming calls, provide registration of patient and schedule the patient for appointments using the TTUHSC appointment scheduling system and AVAYA telephone system
- Review daily message boxes, for timely completion and follow up activity
- Provides education/training to subordinate CMA, Nursing Assistants on clinical operations and computer applications
- Assist in covering other TTPEP clinics. Attend community health fairs, annual fund-raising activity, TTUHSC committees and/or meetings

Preferred Qualifications
Language: English/Spanish preferred. Experience in Ambulatory care setting and electronic medical records. At least one year experience in clinic or physician's office.

Required Qualifications
- High School diploma/GED Equivalent.
- Must be a graduate of a CAAHEP or ABHES Medical Assisting Program.
- Current Medical Assistant Certification required.
- Current BLS certification through the American Heart Association or American Red Cross required.
- Demonstrated ability to work within a multidisciplinary setting; excellent interpersonal and communication skills.
