Position Description
Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.

Major/Essential Functions
1.  Responsible for coordinating purchasing, travel and property inventory.  Coordinates special projects that involve these processes and researches new information and any discrepancies.
2.  Responsible for ordering all equipment and supplies.  Contacts vendors, prepares purchase orders, direct pays, or P card expenses.   Processes receiving report as soon as item is received.   Reviews account codes.
3.  Reviews encumbrance report on a monthly basis and towards the close of the fiscal year on open encumbrances. Takes appropriate action on outstanding balances.   Takes appropriate action on outstanding balances before end of fiscal year so these don't roll forward to new fiscal year. 
4.  Responsible for making approved purchases using the State of Texas purchasing card.
5.  On as needed basis, travels intra-city to purchase items urgently needed or for better pricing.  Requests a deviation.
6.  Responsible for making travel arrangements for chair, faculty and staff employees,  Processes travel application and voucher expeditiously. 
7.  Responsible for keeping CME database on travel expenses, memberships, conference registration fees, and books.
8.  Responsible for conducting training sessions to faculty and staff pertaining to travel, purchasing and property inventory processes.  
9.  Oversees the maintenance and repair of departmental copier and office machines.
10.   Meets with administrator/unit manager as needed basis to apprise of any major projects, workflow and any problems encountered.
11.  Other duties as assigned.

Preferred Qualifications
Knowledge and experience in purchasing, travel and property management related services.  General knowledge of general accounting principles.  Ability to coordinate multiple projects simultaneously.  Ability to maintain accurate records.  Demonstrated ability to research issues and to recommend feasible solutions.   Demonstrated ability to independently complete assignments and to handle multiple assignments.  Knowledge of and ability to use personal computers and related software including Microsoft Office (Word, Excel, Outlook)  Ability to make sound decisions and work effectively under stressful situations.    OTHER SKILLS AND ABILITIES:   Thorough knowledge of work environment and general office procedures; Ability to establish and maintain effective working relationships with all levels of personnel and general public.   Possess good oral and written skills.  SPECIAL LICENSES:   Current Texas or New Mexico Driver's license. 

Experience and knowledge in Cognos/Banner for use in purchasing, travel and property inventory systems.  Intermediate or advanced skill level in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Required Qualifications
