Position Description
Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.

Major/Essential Functions
  • Coordinates travel and travel reimbursements for faculty candidates and ERS staff by scheduling airline, lodging and transportation arrangements and completing online travel system applications and vouchers
  • Coordinates the department’s first line of customer service by answering department telephones, greeting and directing department guests and visitors, and fielding preliminary inquiries or requests for service. Makes coffee, restocks the refrigerator and offers refreshments to guests/visitors
  • Maintains confidential and accurate records in recruitment provider database and filing system with regard to position postings, candidate application and credentials, contact information and other required file elements
  • Respond to telephone, email, and in-person inquiries from candidates, faculty, administrators, and staff in a courteous accurate and timely manner in accordance to department's guidelines
  • Hosts faculty candidates and guests by shuttling visitors from airport/hotel/campus buildings and escorting them on campus to and from scheduled appointments
  • Places advertisements for faculty openings in selected journals and websites as directed by ERS staff, administration, and/or search committee chairs
  • Enters data and monitors job postings on Texas Tech Jobs and other websites for responses by candidates according to established time frames and alerts Faculty Recruitment Coordinators of new candidates
  • Maintains tracking logs and tickler system to request and collect candidates' faculty application materials, credentials, and other documents as required for the faculty appointment process and organizes/maintains candidate files
  • Plans, schedules, and coordinates business meetings, department-sponsored campus events, and candidate interview itineraries to include invitations, appointment scheduling, room and AV equipment reservations attendance tracking agenda preparations, minutes preparation, meal arrangements, beverage services, registration and event coordination to include sign-in sheets and menu cards, etc.
  • Serves as Project Manager (PM) for at least one major project and assists in the execution of events or projects for the Office of Faculty Affairs and Development (i.e. Faculty Newsletter, Annual Faculty Recognition Banquet, New Faculty Orientation programs, Faculty Spouses Organization, etc.)
  • Establishes positive working relationships with faculty and their support staff to help provide customer service support and training on departmental procedures and IT systems
  • Provides general administrative support to Faculty Recruitment Coordinator(s), Associate Dean for Faculty Affairs, Sr. Director and Assistant Director, search committee chair(s) and ERS Staff to include phone coverage, typing, copying, filing, data entry, on and off campus pickups and delivery of materials and other tasks as requested
  • Performs all other duties as may be assigned by supervisor(s)
Position Specific:

Exceptional knowledge of personal computer skills, specifically, MS Office software (Word, Excel, Access, PowerPoint,
Publisher), MS Outlook, and experience with databases. Valid Texas driver’s license and liability insurance for use of
personal vehicle.

Preferred Qualifications
  • Proficiency in Microsoft Office software (Word, Excel, PowerPoint, and Access), MS Outlook, and familiarity with database concepts
  • Valid Texas driver’s license and liability insurance for use of personal vehicle
  • Strong organizational and multi-tasking skills and ability to thrive in busy office environment with multiple deadlines
  • Experience in healthcare or university setting
  • Familiarity with Adobe Acrobat Suite Photoshop, InDesign, Illustrator and other graphic design software applications
