Position Description
Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.

Major/Essential Functions
  • Provides general administrative support to Director and Associate Director, and executes deadline driven tasks.
  • Responsible for processing fiscal activities and financial reconciliations, processes charges and maintains receipts on department’s purchasing card(s) and supporting documentation to maintain audit log and reconcile statements and ledgers in accordance with TTUHSCEP OPs.
  • Provides direct support to database administrator for the PLFSOM faculty databases and performs data entry and records management functions, particularly in the data conversion and maintenance of all faculty files into the faculty database and electronic filing system. Provides clerical support with physical files with original contracts, transcripts, and certifications required for SACS accreditation.
  • Plans, schedules, and coordinates business meetings and other department-sponsored campus events to include invitations, room and A/V equipment reservations, attendance tracking, agenda preparation, minutes preparation, registration, and all required event coordination logistics.
  • Coordinates the department’s first line of customer service by answering department telephones, greeting and directing department guests and visitors, and fielding preliminary inquiries or requests for service. Makes coffee, purchases water/ soft drinks, restocks the refridgerator and offers refreshments to guests/visitors
  • Maintains electronic calendars for the Faculty Affairs section on department activities and events. Manages appointments and event scheduling by coordinating with department staff and other departments.
  • Establishes positive working relationships with faculty and their support staff and provides customer service support and training on departmental procedures and IT systems, to include the faculty rosters.
  • Records departments’ faculty appointment packet submissions in preparation of the monthly CFAPTA (Faculty Appointments Committee meeting) and prepares a summary report for committee agents and director's review prior to monthly meeting.
  • Supports the Chair and Faculty Evaluation Program(s) for PLFSOM; to include preparation and updating of web-based evaluation tools, development of tickler systems, coordination of Faculty and/or Chair training workshops, deadline notices, compliance tracking, and generation of administrative reports.
  • Serves as Project Manager (PM) for at least one major Faculty Affairs function, in the area of faculty retention and faculty satisfaction.
  • Supports Office of Faculty Affairs functions and projects related to faculty retention and satisfaction, including but not limited to the Faculty Newsletter, Annual Faculty Recognition Banquet, Doctors’ Day Breakfast, Faculty of the Year Award Program, Faculty Holiday Open House, etc.)
  • Performs all other duties as may be assigned by supervisor(s).
