Position Description
To perform specialized clerical and secretarial duties in support of the medical staff/faculty of the TTUHSC. Employees in this position are responsible for performing varied and complex office duties which require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Work is performed under general office conditions requiring a high degree of telephone and personal contact with HSC faculty, staff, patients, and outside professionals. Work is also performed under pressure of deadlines, which may include frequent requests for urgent reports.

Major/Essential Functions
  • Perform specialized clerical and and secretarial duties in the support of the medical staff/faculty of the Orthopedic
  • Surgery Department. Responsible for performing varied and complex office duties which require thorough knowledge of departmental and institutional polices and procedures, as well as medical and scientific terminology.
  • Work is performed under pressure of deadlines.
  • Responsible for manning the Pediatric Hot Line. Scheduling appointment according to the guidelines provided by Faculty/Administrator. Work is performed under pressure of deadline.
  • Perform specialized clerical and secretarial duties in support of research projects of the Orthopedic Surgery Dept. Requires knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Work is performed under pressure of deadlines.
  • Responsible for transcription of patient related reports, medical evaluations, letters and summaries dictated by faculty and residents for inclusion in patient's charts with 72 hours of receiving the signed dictation.
  • Makes all travel arrangements for assigned faculty and department personnel.
  • Functions as back-up to secretaries when on leave or out to lunch.
  • Filing, typing, mail distribution, copying, organizing files and other routine clerical functions.
  • Assist with work delegated by Faculty and/or Residency Coordinator for conferences, lectures, and catering function.
  • Performs all other related duties within scope of practice, on an as needed basis or as required by the Regional Chair, Administrator, or any faculty member within the Department

Preferred Qualifications
  • Demonstrate proficiency in grammatical skills and spelling.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Ability to coordinate, plan and organize work assigned.
  • Able to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to work effectively under stressful situations.

Required Qualifications
* A minimum of a High school diploma or GED.
 * At least 90 days experience as a Medical Secretary Trainee. OR * Three years of secretarial experience with 1 year in a medical or educational setting.
