Position Description
This position is responsible for assuring smooth operation of the clinic patient flow.  Employees serve as primary contacts for patients and are responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department.  Employees may have cash handling responsibilities.

Major/Essential Functions
  • Greets patients, performs registration of patients, to include updates of demographic data, financial data, insurance information and any other third party payor information.
  • Photocopy of insurance cards and picture ID. Arrives patient in Centricity Business system for daily report 
  • Receives all incoming telephone calls through the system for Clinic, screens and directs to staff/faculty as appropriate.
  • Schedules patient appointments. Cancels and re-schedules appointments according to changes on physician's schedules in Centricity Business.
  • Cancels, reschedules, and creates new clinic schedules as needed.
  • Prepares and prints arrive/no show report.
  • Performs discharge procedure, schedules patients for return visit, and collects fees accordingly. Verifies Medicare, Medicaid, and all third party carrier coverage prior to patient's appointment.
  • Obtains pre-authorization or pre-certification for coverage of office visit or surgical procedure with appropriate ICD-10 and CPT codes needed. Verifies Medicare, Medicaid, and all third party carrier coverage prior to patient's appointment.

  • Negotiates deposits and/or deductibles for all elective procedures based on patient's financial category
  • Daily communication regarding appointments, clinic visits, patient education and requirements, issues with supervisor, physicians/providers and patients.
  • Notifies supervisor of any changes in daily appointments and keeps her informed of all patient issues pertaining to schedules.
  • Performs other work related duties as determined by the Clinic Manager.

Preferred Qualifications
  • Knowledge of medical terminology, coding procedures, CPT and ICD-10, billing functions, cashier and data entry.
  • Familiar with Centricity Business (CBiz), Electronic Medical Record EMR), Phreesia, Referral Management System (RMS), Cerner and AVAYA phone systems.
