Position Description
This position is responsible for assuring smooth operation of the clinic patient flow. Employees serve as primary contacts for patients and are responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees may have cash handling responsibilities.

Major/Essential Functions
Knowledge of basic office equipment and computer skills; email, PC, Telephone, 0-Key, Excel, Word. Knowledge of various managed care plans and private insurances. Knowledge of referral and authorization processes. Proficient professional telephone skills, ability to interact effectively and efficiently with others; ability to work in a busy environment, ability to understand and follow instructions; some familiarity with dental procedures, ability to communicate effectively and professionally with a variety of people. Work closely with staff, manager, supervisor, dental students, and administration. Bilingual capability. English and Spanish. Willing to work M-F 0800-1700, some extended hours and holidays are possible.

Pay Statement
Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.

Occasional Duties
  • Registers and schedules patient appointments for office visits accurately and efficiently in the EMR and billing system.
  • Receives incoming calls.
  • Verifies and updates managed care plan and/or insurance information into patient account.
  • Scans accurately all necessary paperwork, forms an patient information into correct file folder in EHR.
  • Cashier and prepares daily deposits. Responsible for collecting patients co-payments, payment for services rendered, and/or outstanding balances.
  • Arrives and No-Shows appointments daily and after each clinic session PC, for the end of the month statistical departmental report.
  • Trains existing and/or new employees in the registration and processing of patients or in any other job related duties. Provides cross-training to staff within different clinic areas.
  • Verifies, updates and optimizes the patient schedule daily.
  • Flexibility and adaptability to accept and perform other duties assigned by supervisor.

Required Qualifications
Experience:  One (1) year of customer service, office or related experience required. Additional education may substitute for the experience requirement.
