Position Description
This position is responsible for assuring smooth operation of the clinic patient flow. Employees serve as primary
contacts for patients and are responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department.

Major/Essential Functions
  • Answers main telephone line, responds to telephone inquiries from patients, staff and general public. Telephone calls will be handled in a professional and friendly manner. Receive and return messages in an attentive, professional and friendly manner. Action must be completed within 24 hours.
  • Prepares and request authorization for clinic medications. Request necessary documents and maintains clinic files. Clinic documents will be completed in a timely manner.
  • Take vital signs, records data on patients chart when opening the EMR note. Documents in chart any necessary information. Records patient height, weight, pulse, temperature, and blood pressure accurately 100% of the time. documentation will follow policies and standards set by Department and Institution.   • Patient medical records, as well as laboratory results, and other paperwork will be filed on a dailybasis. Ensure confidentiality, HIPAA guidelines 100% of the time. Assists physicians in a prompt, accurate, and friendly manner. Prepares and completes all assignments from faculty, supervisor and administration in the department. Assignments will be completed by the designated deadline given.
  • Registers, schedules, confirms and arrives appointments for office visits. Assists in clinical schedules adjustments as needed given by supervisor. 
  • Registers, schedules, confirms and arrive patients in a professional and timely manner. 
  • Make sure all paper documents are scanned and imported into the electronic medical record. Documents will be scanned and imported on a daily basis. Will retrieve all faxes and complete in a timely manner. Faxes will be completed on a daily basis. Telephone calls will be handled in a professional and friendly manner.   • All other duties as assigned. Assignments will be completed by the designated deadline given.
  • Coordinates and maintains filing / record keeping systems. Files and or records are easily accessed and in organized for easy retrieval of information.  Uses TTUHSC EMR for record keeping and Trayt for statewide reporting

Preferred Qualifications
  • Bilingual English/Spanish, Clinical setting experience. 
  • Excellent interpersonal skills.
  • Ability to communicate effectively orally.
  • Ability to read and comprehend instructions and write messages.
  • Basic knowledge of medical terminology.
  • Display knowledge of personal computers to include use of Microsoft Word, Excel, outlook.
  • Well organized and ability to manage multiple duties.
  • Nursing assistant duties to include patient triage.
