Position Description
This position is responsible for assuring smooth operation of the clinic patient flow and serves as the primary contacts for patients. Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees in this classification receive general supervision. Most work is performed according to established procedures; problems of an unusual nature are referred to supervisor. Ability to communicate effectively internally and externally. Ability to understand and follow instructions. Work is performed in usual clinic conditions and requires a high degree of contact with patients, HSC staff, and insurance companies. Employees have cash handling responsibilities.

Major/Essential Functions
  • Greets patients, processes registration, updates financial and demographic information, photocopies insurance cards and attached to fee tickets. Arrives patient in Centricity Business system for daily report.
  • Answers all incoming calls through the AVAYA phone system and requests medical records for triage calls and daily add-ons.
  • Schedules patients appointments and cancels appointments, as necessary. Re-schedules, calls patients to confirm appointments.
  • Notifies supervisor of any changes in daily appointments and keeps her informed of all patient issues pertaining to schedules.
  • Coordinates referral appointments to and from other medical facilities to include those referrals received through the Texas Tech RMS System.
  • Sends out letters to patients that did not show for their appointments.
  • Maintains the files patients referrals and/or consults for future appointments. Retrieves patient information via Cerner to determine specialty appointments.
  • Maintains appointment logs pertinent to specific clinic for reporting purposes on a daily basis.
  • Ensures that all medical records are available for day of clinic and reviews charts for accuracy and completeness of consent forms for treatment.
  • Collects copayment for office visit or deposit for surgical procedure dependent on financial status of patients. Prepares daily deposit, obtains departmental approval, and submits deposits to MPIP department.
  • Provides coverage for Pediatric Surgery by performing all PSS duties as needed.
  • Performs other related duties as assigned by Supervisor and/or Clinical Office Manager.
  • Cancels, reschedules, and create new clinic schedules as needed.

Preferred Qualifications
Position Specific Qualifications
Excellent customer service skills. Ability to communicate effectively with a wide variety of individuals, to include, patients, physicians, staff, insurance companies, outside medical facilities, etc. Familiar with various insurance programs, to include Medicare and Medicaid, and referrals processes.

Preferred Knowledge, Skills and Abilities
Bilingual English and Spanish. Typing speed of 30 WPM or above. Knowledge of medical terminology. Familiar with Centricity Business (CB), Electronic Medical Record (EMR), Referral Management System (RMS), Cerner, El Paso Children's Cerner System and AVAYA phone systems.

Required Qualifications
+Education:+ A minimum of a high school diploma or equivalent.
+Experience:+ * At least three years of general office experience. * At least one year of general office experience in a clinic or physician's office. 
* At least 90 days service at TTUHSC as a Patient Services Trainee, documented completion of all relevant IDX training and a recent performance appraisal on file with a rating of meeting or exceeding expectations.
