Position Description
This position is responsible for assuring smooth operation of the clinic patient flow. Employees serve as primary contacts for patients and are responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees may have cash handling responsibilities.

Major/Essential Functions
  • Make a exceptional impression. Greet patients as they walk in the door.
  • Performs registration of patients, to include updates of demographic data, financial data, insurance information and any other third party payer information. Photocopy of insurance cards and picture ID. Arrives patient in Cbiz/Athena system. Ensure that consents have crossed into EMR from Phreesia.
  • Document phone notes accordingly per established protocol .
  • Schedule patient appointment.
  • Process payments from patients for co-pays and uninsured visits.
  • Call insured patients who have virtual visits to collect payment for visit. Ensure daily cash fund balances for deposit.
  • Performs other work related duties as assigned by Unit Manager or Patient Service Supervisor.
  • Calls and sends no show letters to patients who miss their appointments Verifies Medicare, Medicaid, and all third party carrier coverage prior to patient's appointment.
  • Call patients to reschedule bumped appointments and document phone notes in EMR per established protocol.
  • Notifies Patient Service Supervisor and Unit Manager of any changes in daily appointments.
  • Informs supervisor of all patient issues pertaining to the front desk per established protocols

Preferred Qualifications
This position is responsible for greeting and registering patients according to established protocols Assist patients to complete all necessary forms and documentation including medical insurance. Ensure patient information is accurate including billing information, inform patients of medical office procedures and policy. Schedule patient appointments.
Process payments from patients for co-pays and uninsured visits. Obtain external medical reports as required by medical professionals. Respond and comply to requests for information as needed. Ensure the reception area is well maintained, neat, and clean. Safeguard patient privacy and confidentiality. Call patients to remind them of upcoming appointments and to help patients schedule testing for off-site services. Provide patients with support and guidance as needed. Bilingual English and Spanish. Knowledge of medical terminology, procedures, and diagnosis. Working knowledge of healthcare insurance and insurance portals. Knowledge of computer and relevant software applications. Knowledge of general administrative and clerical procedures. Ability to handle a fast-paced environment and prioritize tasks based on importance.
