Position Description
This position is responsible for assuring smooth operation of the clinic patient flow by championing a values based culture to promote unit effectiveness. Directs and supervises Patient Services staff in the processing of patients. Supervises scheduling of appointments, patient visits, the receiving of patients, and the maintenance of records; supervises processing of charges for clinic services, filing of insurance claims, responses to requests for information from patients and insurance companies and the maintenance of related information for the department. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Most work is performed according to established procedures; problems of an unusual nature are referred to supervisor. Employees will have cash handling responsibilities.

Major/Essential Functions
  • Oversight of PSS Staff
  • Reviews patient flow to determine availability of staff and coordination of duties to include providing coverage as deemed necessary. Report any scheduling issues to supervisor.
  • Intervenes and handles issues related o patient problems, concerns, or complaints and takes measures to correct situations
  • Responsible to review and correct assigned staff time clock entries, making adjustments as deemed necessary
  • Responsible for auditing of all cash collected daily in the clinic to assure PSS staff balance with axiUm entries and securing cash bags in the safe at the end of shift
  • Attend meetings which include being part of the committees to assist in improving operational efficiency
  • Performs other related duties as deemed necessary by immediate supervisor. Serves as back-up to all other PSS positions in clinic.
  • Attends scheduling meetings to review faculty and students schedules to optimize schedule and to eliminate scheduling errors.
  • Reviews and coordinates schedules to maximize utilization of Faculty and students
-Position Specific Qualifications-
Knowledge of basic office equipment and computer skills; email, PC, Telephone, 0-Key, Excel, Word. Knowledge of
various managed care plans and private insurances. Knowledge of referral and authorization processes. Proficient
professional telephone skills, ability to interact effectively and efficiently with others; ability to work in a busy
environment, ability to understand and follow instructions; familiarity with dental procedures, ability to communicate
effectively and professionally with a variety of people. Work closely with staff, manager, supervisor, dental students,
and administration. Bilingual capability. English and Spanish. Willing to work M-F 0800-1700, some extended hours
and holidays are possible.

Required Qualifications
Education:  A minimum of a high school diploma or equivalent.
 
Experience:  A minimum of five (5) years of customer service experience required; two years of the experience should be in a supervisory role.  Experience in a clinic or physician’s office is preferred OR at least three (3) years of experience at TTUHSC in the Patient Services Program, plus one year (1) of supervisory experience.
