Position Description
Supports the program director by performing administrative duties related to planning, directing and coordinating both the academic and operational activities of the program

Major/Essential Functions
  • Research, organize and provide referral information related to the TCHATT program participants in accordance with the findings of the staff and treatment team
  • Answers phones. Processes incoming and outgoing correspondence and tracks status of all correspondence. Draft, proof, edit, correspondence, independently for understandability, grammar, punctuation and spelling, replies to correspondence as assigned
  • Coordinates, prioritizes, and schedules routine tasks and meetings (in person and virtual)
  • Coordinates and maintains filing / record keeping systems, both paper and electronic systems
  • Completes special assignments with some latitude to exercise independent judgment. Assists with planning and implementation, as required
  • Other duties as requested by the Program Director and Staff with Operations that will support the departmental staff and departmental daily operations (as assigned)

Pay Statement

Occasional Duties
  • Coordinates travel arrangements for all members of the TCHATT group and resolves problems as appropriate. Prepares their travel applications and vouchers; maintains a spreadsheet log of travel expenses, reimbursements, etc.
  • Assures staff have necessary information for meetings, conferences, and other activities. Prepares agenda, gathers documents and information, and prepares minutes for meetings as requested
  • Responsible for issuing, monitoring and purchasing supplies for the department. Including routing contracts as needed for purchasing and project needs

Required Qualifications
  • High school plus six years experience in related field
  • Additional education may substitute for experience on a year for year basis
