Major/Essential Functions
  • Monitors student and faculty compliance with reporting requirements and assessments and detailed reports for the 3rd and 4th year medical school curriculum.
  • Assist in the design, development, and implementation of 3rd and 4th year medical school curriculum, to include all clerkship sites.
  • Assist in the development of policies and procedures for TTUHSCEP-PLFSOM, Providence Hospital clerkship sites, Liaison Committee on Medical Education and Specialty National Association guidelines as they pertain to clinical clerkship.
  • Responsible for maintaining confidential medical student files, records all material pertaining to the Clerkship Program.
  • Responsible for scheduling, attending, and taking minutes at monthly Clerkship Directors'/Coordinators' meetings as well as Coordinators Workshops and other meetings set by the Office of Medical Education.
  • Serves as liaison between the Office of Medical Education, Clerkship Directors, Coordinators Student Affairs and all clerkship sites.
  • Responsible for scheduling block reviews and taking minutes.
  • Monitor and report on completion of evaluations (weekly, mid-clerkship, and final) for all clerkship to include the four Providence Hospital Clerkship sites. 
  • Assist in the preparation of course syllabi for each academic year.
  • Assist the unit supervisor to coordinate with Clerkships and Student Affairs regarding credentialing for students at all clerkship sites, to include hospitals and clinics as needed.
  • Managing all entries to CHAMP and assuring that entries are current, accurate, and consistent with agreed upon format and styles.  Entries include but are not limited to: course calendar/schedule, room assignments, Power Point presentations, regarding assignments, course objectives, examination items, examination results etc.
  • Responsible for scheduling of rooms for scheduled educational activities (e.g., lecture halls, small group rooms, labs, etc.) for all clerkship activities during Years 3 and 4.
  • Assist unit supervisor in scheduling all aspects of the administration of NBME's, to include ordering, scheduling rooms, coordinating IT support, and scheduling students and proctors.  
  • Collaborates with Clerkship Coordinators in "troubleshooting" a variety of issues (i.e. IT, student, faculty, curriculum implementation).
  • Generates reports related to processes and outcomes of clerkship programs.
  • Sets agenda with input from the Associate Dean, Unit Manager, Course Coordinators, Clerkship Directors and Coordinators, for monthly Clerkship Directors/Coordinators' meetings.
  • Must be familiar with operation and schedules of all required Year 3-4 clerkships to include the four Providence Hospital sites in order to provide backup when coordinators are absent.
  • Prepares reports for the LCME and other agencies as requested by the Unit Manager.
  • Other duties as assigned, including but not limited to: formatting data, running and binding reports, etc.
  • Responsible for coordinating all aspects of the intersession.

Preferred Qualifications
Bachelor's degree in social sciences, education, communication (all degrees considered) and one year of post baccalaureate work experience or combination of education and experience relevant to responsibilities of position.
Excellent computer skills including proficiency in Word, Power Point, Excel. 
Excellent written and oral communication skills. 
Ability to work as a team member and to cross-train with other course support coordinators. 
Ability to work with minimal supervision.
Successful (B or better) completion of basic course in statistics.  Familiarity with statistics package (e.g. SPSS or SAS).
Experience with MS Publisher.  Experience working with Black Board or WebCT (may have been acquired as a student).
