Major/Essential Functions
- Serves as the main admin support staff for the Conflict of Interest in Research Committee (COIRC), scheduling of committee meetings, room reservations, audio visual, & facilities work orders.
- Creating the agenda, including attendance, call to order, & creation of accurate meeting minutes.
- Provides formal/informal regulatory & methodological advice. Assist w/ conflict of interest & financial disclosure requirements. Implements & maintains processes to this.
- Using the iRIS system & Conflict of Interest module, provides initial screening of disclosures received in the Pre-review queue. Collects & independently analyzes data regarding potential research conflict of interest to assist w/ the review process. Notifies appropriate personnel of disclosures of significant financial interest. Communicates info to reviewers as needed. Implements & maintains processes to support this.
- Manages & updates the Financial Conflict of Interest (FCOI) spreadsheet. Makes available to stakeholders.
- Provides oversight to ensure that current research disclosures are on file. Communicates w/ personnel regarding expiration of financial disclosures.
- Prepares correspondence for the committee that conveys COIRC deliberations & contingencies for approval of Conflict Management Plans.
- Serves as designated backup for the Institutional Biosafety Committee (IBC) & Institutional Animal Care Use Committee (IACUC).
- Provides access, implements and maintains processes to iRIS software system for qualified researchers upon request.
- Maintains & updates CITI training & financial disclosures in iRIS, daily. Reconciles "non-merged" training list in iRIS.
- Provides ongoing oversight & communicates w/ staff regarding expiration of CITI training to the research committee & research activities. Updates training iRIS records, as necessary. Implements & maintains processes to support this.
- Provides onboarding, orientation, training for new COIRC members and ongoing educational activities for current members. Implements & maintains processes to support this.
- Serves as the institutional CITI (University of Miami) program administrator for TTUHSC EP & manages requested changes/updates to CITI modules.
- Creates & finalizes appointment/reappointment letters, & member agreements for the COIRC. Ensures that member training requirements are being maintained. Implements processes to support this.
- Remove iRIS access for terminated employee w/ research protocols using separation report notifications.
- Assists in drafting policies & procedures to COIRC & financial disclosure related issues.
- Reviews & maintains the OR admin website & the research regulatory committee websites - COIRC, IACUC, IBC & IRB.
- Assist the admin unit w/ the coordination of OR-sponsored events & Ethics Committee meetings - event logistics to include flyers, sign-up sheets, facilities work orders, audiovisual requests, meal & beverage orders, required pre-approvals & required docs for authorized expenditures.
- Provide support to the admin unit by submitting ePAFs, EOPs, PASS transactions, & other HR-related transactions.
- OR travel coordinator & delegate for the Chrome River Travel system. Provides guidance & coordinates & processes of all travel expense reports & reimbursements for the Office of Research.
- Departmental contact for the creation of compelling, effective digital content for the OR. Works closely w/ requestors to conceptualize custom artwork that follows existing standards to convey info in a clear & accessible manner. Responsible for creating, modifying, proofreading all artwork. Obtains appropriate approvals to ensure digital signage meets requirements for publication.

Preferred Qualifications
- Administrative experience preferred.
- Experience in a research setting.
- Ability to apply and interpret federal and state regulations related to research.
- Knowledge of iRIS software system.
- Knowledge of University of Miami CITI program.
- Knowledge of Excel databases.
- Medical terminology coursework/experience preferred; Proficient in Spanish preferred.
- Excellent oral and written communication skills.
- Ability to use independent knowledge to analyze and prepare data for review; proficient in the use of Microsoft office applications as well as have the ability to learn and utilize new computer software programs; excellent typing and transcription skills; excellent organizational and efficiency skills.
- Ability to work independently and to prioritize objectives; ability to maintain focus on multiple tasks within a short time frame; attention to detail.
- Ability to read and understand technical and regulatory terminology and to efficiently convey key information to others; knowledge of federal and institutional requirements related to conflicts of interest in research; ability to get along with administrators, faculty members, government officials, TTUHSC EP staff and students.
