Position Description
Coordinates a section in a department that has institutional oversight responsibilities. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program or departmental project as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and/or students.

Major/Essential Functions
Responsible for budget preparation. This will include running all preliminary reports in Cognos and budget prep system and updating various templates and spreadsheets.

Creates sign in sheets and evaluations for all for all departmental events as well as manages all data from sign-in sheets and evaluation forms for all departmental events as it relates to LCME and SACS accreditation documentation.

Responsible for the processing of all purchases/invoices to the accounts payable office and manages the departmental procurement card expenditures for audit purposes.

Responsible for inputting, analyzing, and managing data generated by the evaluations and sign-in sheets. These reports will be provided as documentation for LCME and SACSOC accreditation.

Responsible for the clean-up and maintenance of the departmental S:Drive.

Prepares maintenance agreements for the equipment in the Office of Diversity, Inclusion, and Global Health. Renews Memberships and subscriptions for the Office of Diversity, Inclusion, and Global Health.

Responsible for the creation and development, and advertising of all office material (e.g. brochures, events, flyers, etc.) and introduction/speaker points for events. 

Coordinates and assists with all scheduling of film screenings to determine semester film list on behalf of campus. 

Maintains all expenditure spreadsheets for all events related to the office including catering cost per person.

Manages inventory for all items found in both the workroom and the storage room.

Maintains Global Health Libraries (DVD &Books) for the Office of Diversity, Inclusion, and Global Health.

Manages and maintains all property inventory including equipment by using the Radio Frequency Identification
inventory system. Along with property custodian completes a physical inventory of property. Uses most recent listing from website.
On an annual basis completes property inventory online. Responsible for completing and submitting documentation on any changes (transfers, surplus, missing, addition, temporary use, etc.) to property inventory system on a needed basis. Submits inventory online.
Serves as Unit Safety Officer for the Office of Diversity, Inclusion, and Global Health

Assists in the development of trainings as well as facilitates and coordinates trainings related to diversity for the whole campus.

Performs other duties as required or assigned by the Senior Director.

Preferred Qualifications
Previous experience working with continuing education events. Previous experience with creating marketing flyers, maintaining inventory, and coordinating of multiple activities and/or projects. Prior experience in data entry and database maintenance. Knowledge of LCME and SACSOC accreditation policies. Experience in healthcare or university setting. Familiarity with SPSS, Adobe Acrobat Suite Photoshop, InDesign, Illustrator and other graphic design software applications.
