Major/Essential Functions
- Compiles data and monitors daily job postings on Texas Tech Jobs and other websites for responses by candidates according to established time frames.
- Hosts faculty candidates and guests by transporting visitors from airport/hotel/campus/hospital buildings
and escorting them on and off campus to and from scheduled appointments.
- Arranges travel logistics for faculty candidates and ERS staff by scheduling airline, lodging, and transportation arrangements and completing on-line travel system applications and vouchers.
- Verifies, evaluates, and processes charges and maintains receipts on departments purchasing card(s) and supporting documentation for audit log.
Obtains prompt reimbursement for recruitment-related expenses for leadership, administration and faculty. Reconciles statements and ledgers in accordance with HSCEP OP's.
-Develops, implements and maintains tracking logs and a tickler system to request and collect candidates
faculty application materials, credentials, and other documents as required for the faculty appointment process and organizes/maintains candidate files.
-Allocates expenses to appropriate account for recruitment expenses, catering for business meetings, candidate travel expenses etc...and maintains appropriate record keeping and notifications to account managers.
-Provides confidential and accurate record
management in recruitment provider database and filing system with regard to position postings, candidate application and credentials, contact information and other required file elements.
-Monitors and maintains filing systems and financial records of all recruitment expenses. Produces standing and ad-hoc reports of expenses for recruitment activity by candidate and by position
-Develops and places advertisements for faculty openings in selected journals and websites as directed by ERS staff, administration, and/or search committee chairs.
-Serves as Project Manager (PM) for at least one major faculty services project in the area of faculty retention and faculty satisfaction for the Office of Faculty Affairs
-Executes faculty services programs and projects related to faculty retention and satisfaction, including but not limited to the Annual Faculty Recognition Banquet, Doctors’ Day Breakfast, Faculty of the Year Award Program
-Establishes positive working relationships with
faculty and staff and provides customer service support and training on departmental procedures and IT systems, including Faculty Recruitment Tracking and the faculty database.
-Research and respond to miscellaneous requests from external stakeholders; current, former and prospective faculty; administration; and/or Texas Tech departments for information related to faculty appointments, faculty governance, faculty recruitment, faculty retention and satisfaction, and/or other Faculty Affairs projects.
-Plans, schedules and coordinates recruitment business meetings and candidate interview itineraries to include invitations, appointment scheduling, room and AV scheduling, room and AV
equipment reservations, attendance tracking, agenda preparations, minutes preparation, meal arrangements, work orders, room clean- up orders, registration and event coordination, etc...
-Provides collaborative support to Faculty Recruitment Coordinator(s), Associate Dean for Faculty Affairs, Sr. Director and Associate Director, search committee chair(s) to include phone coverage, typing, copying, filing, data entry, on and off campus pick ups and delivery of materials and other tasks as requested.
-Develops graphic work including flyers, posters, brochures, programs, menus, invitations, marketing materials, etc. for the ERS as assigned by supervisor.
-Provides technical support, training and administrative functions for virtual platform recruitment meetings and interviews. Develop written training and best practice guides for virtual meetings.
-Performs all other duties as may be assigned by supervisor.

Preferred Qualifications
- Strong organizational and multi-tasking skills and ability to thrive in a busy office environment with multiple competing
- Ability to read, write, and communicate verbally in a professional manner and tone. 
- Ability to read and interpret policies and procedures. 
- Ability to effectively present information and respond to questions from leadership, faculty, staff, and external constituents.
-Proficiency in virtual meeting software to include but not limited to Cisco WebEx, Zoom, and Skype. 
- Ability to troubleshoot complex virtual meeting settings and train staff on virtual platform settings. 
- Previous administrative experience in an academic or health sciences center setting.

Required Qualifications
Bachelor's degree in related field. Three (3) years related experience; OR a combination of related education and/or experience to equal seven years.
