Position Description
This position is responsible for assuring smooth operation of the clinic patient flow and serve as primary contacts for patients. Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Ability to communicate effectively with a variety of people. Ability to understand and follow instructions. Work is performed in usual clinic conditions and requires a high degree of contact of both direct with patients, HSC staff, and insurance companies. Employees have cash handling responsibilities.

Major/Essential Functions
-Serves as lead CMA for back office clinic operations. Collaborates with Clinic Manager to enhance clinic operations and schedules to include any type of adjustments requested by physicians & residents.
-Assist the Clinic Manager with day to day clinic operations by ensuring proper medical assistant coverage is available to assistant physicians and residents.
-Prepares medical records for patient appointment, to include that patient's lab orders, hospital reports, x-ray cd's and all other studies ordered are available for patient appointments. 
-Prepares exam rooms and assists patients for examinations to include triage, minor procedures and diagnostic studies..
-Coordinates information and requests with physician, medical students and patient.   Vital patients and enters all information into EMR.
-Registers and schedules patients appointments for office visits; arrives patient appointments. Assist patients with information technology regarding patient satisfaction survey. 
-Maintains optimal daily scheduling by ensuring no conflict in physicians schedules and calling patients addressing phone notes or concerns from physicians or patients. 
-Responds to in-person and telephone inquiries from patients, staff and general public. 
-Responsible for Joint Commission related projects for the Neurology Clinic. Responsible for educating medical assistants on Joint Commission policies. 
-Responsible of scheduling of Avaya agents to ensure telephone coverage for the Neurology Clinic, responsible for creating & distribution of schedules.
-Covers other Patient Services Specialist within back office. 
-Travel to satellite clinics to assist providers and patients. 
-Overnight travel to outreach centers in West Texas to assist providers and assist Clinic Manager is assigning medical assistants for outreach centers.

Required Qualifications
Education: A minimum of a high school diploma or equivalent.  Graduation from an approved certified program for assistants in the area of required specialty and have a current certification by an approved accredited certifying agency in the specialty that particular work will be performed.  Current CPR certification.

Experience: A minimum of five (5) years of general office experience.  A minimum of two (2) years in a clinic or physician's office.   At least three (3) years of experience at TTUHSC in the Patient Services Program, documented completion of all relevant IDX training and a current performance appraisal with a rating of meeting or exceeding expectations.
