Position Description
Serves as the principal clerical and administrative support position to an administrative officer. This title is restricted for use in the office of a Dean, Associate Vice Chancellor/Associate Vice President, Vice Provost, or an administrative officer reporting directly to the Chancellor/President. Performs responsible and complex administrative support or technical program assistance work. Work is performed under general supervision from the administrator. Direct supervision of subordinate personnel may be included in the job responsibilities.

Major/Essential Functions
  • Provide daily administrative support for the Office of the Dean; general support for faculty and staff of the WLHSDM; and troubleshoot other administrative support needs with minimal supervision
  • Incumbent will be expected to perform technical program assistance work to include coordinating travel arrangements, maintain electronic calendar for appointments; provide customer service by answering department telephones, greet and direct guests and visitors; and receive and distribute mail and deliveries in a timely manner
  • This position will also determine the type of A/V support required for all events and educational activities, providing support by reserving rooms, submitting facilities and A/V equipment work orders and manage the catering for all meetings/events
  • Serve as a shopper on TechBuy for purchasing needs of the Office of the Dean. As such, incumbent will also serve as a delegate for the Property Management Inventory System by ensuring that all equipment is tagged, verified and confirmed during the annual inventory certification period for required items
  • Incumbent will hold the procurement card and reconcile in a timely manner for purchases on behalf of the Office of the Dean
  • Manage all Unit Safety Officer duties as assigned while working closely with the Department of Safety Services
  • Perform tasks as directed by supervisor when required
  • Adhere to all TTUHSCEP policies, procedures and processes.

Required Qualifications
  • Bachelor's degree in clerical/administrative area
  • Two years progressively responsible administrative or related experience, including one-year supervisory experience
