Major/Essential Functions
- Performs specialized clerical and secretarial duties in direct support of a Department Chair within the Health Science Center. Responsible for performing varied and complex office duties which require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Work is performed under general office conditions requiring a high degree of telephone and personal contact with HSC faculty, staff, patients, and outside professionals. Work is also performed under pressure of deadlines, which may include frequent requests for urgent reports
- Processes all purchasing for department by contacting vendors, requesting bids, preparing purchase orders, acquiring PO#’s and submitting orders to vendors. Is responsible for making sure reports are submitted in a timely manner to the Coordinator of Departmental Resources, these reports include but are not limited to, In house call log for the Faculty that employee supports, MasterCard forms, travel vouchers, transcription, etc.
- Assists Department Chair in the event of Medical Admin Secretary's absence. Works under pressure of deadlines, which may include frequent requests for urgent matters
- Responsible for maintaining faculty outlook calendar and ensure conflicts with clinical and administrative functions are avoided
- Responsible for composing, typing, and dissemination of letters; PowerPoint presentations; meeting minutes; dictation; or other documents as requested by faculty
- Operate as back up for Medical Administrative Secretary and front desk coverage when needed
- Performs other duties as may be assigned by immediate supervisor, administrator, chairman, or faculty member

Preferred Qualifications
- Documented completion of at least 16 hours of Secretarial skills in Enhancement Training
- Most recent performance evaluation of very good or outstanding
- Specialized training in typing, word processing, medical terminology, and computerized dictating equipment preferred. Documented completion of Medical terminology course
- Employees must have documented completion of CONNECTIONS class series of SERVICEPLUS while in this position if not previously completed in another HSC or TTU position
- At least 12 months experience as a Medical Secretary

Occasional Duties
- Responsible for assisting with new faculty on boarding to include but not limited to: assist with gathering credentialing documentation; preparing HR system appointment (s); ensuring legal documents are consistent with hire date and properly executed; scheduling of orientations; scheduling of training (i.e. computer, EMR, dictation, ACLS, etc.); completion of on line training (Compliance, HIPPA, etc.; electronic access; tour of hospitals, etc.
- Responsible for setting up a system to ensure faculty credentials are renewed and kept current to ensure compliance and proper distribution (i.e. Texas Medical License, DEA License, Board Certification Certificate, ACLS, PALS, NRP, BLS, etc.)
- Responsible for maintaining faculty/staff files in properly allocated according to faculty legal documentation (i.e. University mandatory trainings, CME, HIPAA etc).
- Responsible for maintaining records of university mandatory trainings for staff/faculty departmental file to ensure compliance
- Is responsible for making all travel arrangements for Chair, Administrator and/or assigned Faculty. Thus, include processing all prospective, non-salaried and salaried faculty appointments to include all travel arrangements associated with the appointment process

- High school diploma or GED
- Five years secretarial experience with 3 years in a medical setting OR at least 12 months experience as a Medical Secretary at TTUHSC
