Position Description
Performs specialized clerical and secretarial duties in support of the medical staff/faculty of the TTUHSC. Employees in this position are responsible for performing varied and complex office duties that require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Job descriptions are subject to change due to advances in technology, use of work force, and factors that may impact the TTUHSC's need to modify position requirements. May be responsible for supervising a small clerical unit. Perform under pressure of deadlines

Major/Essential Functions
  • Responsible for MedicalStudent and JAMP StudentRotations in Radiology.  Maintain medical student rotation
  • department with administrative duties including but not limited to filing, maintaining rotation schedules, maintaining Radiology website, answering telephones, faxing, etc.
  • Coordinates functions and duties in support of Medical Student Clerkship Director and is medical secretary to assigned faculty of the department.  Assist in maintaining faculty calendars and logs for meetings, conferences, etc.Assist
  • faculty, residents, and students with general correspondence. Fax, copy, file, receive and distribute mail and maintain office files
  • Process travel and conference requests and arrangements for Radiology faculty, staff, residents, visiting speakers and faculty candidates
  • Other duties as assigned
  • Maintain CVs, certifications, licensing, credentialing, immunizations, training requirements, etc. Responsible for maintaining current information to meet compliance requirements

Preferred Qualifications
  • Familiar with medical terminology
  • Knowledgeable with Microsoft Office software. (Word, Excel, Powerpoint, Outlook)
  • Experience in the administration of medical student clerkship program
  • Knowledge in the use of TTUHSC software (Tech Buy, Chrome River, Travel)

Occasional Duties
  • Under the direction of the Medical Student Clerkship Director , accesses internet sites for Medical Student Radiology reading articles in both hard copies and digital. Assists with updating the clerkship syllabus. Assist with reviewing faculty and resident assessment of student performances
  • Reconcile credit card transactions and file in Chrome River Payment Services. Process purchase orders, direct pay transactions and related
  • Assist in arranging departmental functions
  • Represent the department at school functions and meetings
  • Cross train and be cross trained
  • Assist with faculty and resident recruitment

Required Qualifications
  • High school diploma or GED; five years secretarial experience with 3 years in a medical setting OR at least 12 months experience as a Medical Secretary at TTUHSC
