Position Description
Performs specialized clerical and secretarial duties in support of the medical staff/faculty of the TTUHSC. Employees in this position are responsible for performing varied and complex office duties that require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Job descriptions are subject to change due to advances in technology, use of work force, and factors that may impact the TTUHSC's need to modify position requirements. May be responsible for supervising a small clerical unit. Perform under pressure of deadlines

Major/Essential Functions
Assists department with administrative duties including but not limited to filing, maintaining master calendar, telephones, faxing, medical director logs, QI reports, etc.

Coordinates functions and duties in support of the Chair, Vice-Chairs, and Medical Director of the Dept.

Processes travel and conference requests for Chair, and Vice Chairs and obtains approvals and reimbursements

Maintain CVs, staff meeting agenda items, certifications, immunizations, training requirements, etc for Chair and Vice Chairs.  Responsible for maintaining current information to meet compliance requirements

Manages the daily calendar of Chair

Provides coverage for Department Telephones during absence of SBA

Meets with Unit Manager and/or Administrator to update on projects, deadlines, meetings, etc.

Under the director of the Chair/Unit Manager/Program Director, accesses internet sites for ACGME Pathology certification reading articles in both hard copies and digital

Coordinates and assists with the compiling of information necessary to complete current application to the ACGME. Coordinates all arrangements for the CLER & Site Visits (e.g. agenda, arrange meetings, room, lunch, etc). Maintains and updates all information pertaining to the accreditation of the residency program (Accreditation Reviews, CLER and ACGME Site Visits; updates of the milestone semi-annual and annual reviews

Experience in the administration of residency programs as outlined by ACGME
Knowledge in the use of Banner/Cognos systems, such as EOPs, Travel and Current Leave Balances

Pay Statement
Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources web page.

Occasional Duties
Responsible for coordination of monthly A/P faculty staff meetings and any other required meetings as required; takes minutes and types report

Assists in the faculty recruitment process.  Coordinates interviews, prepares interview packets, escorts candidate to interview appointments

Maintains future resident files in secured areas. Provides information to various departments within TTUHSC and the hospital, and outside agencies for verification purposes. Monitors resident licensure status, providing them with applications as needed. Monitors vacations, leave policy, counseling, case logs, dress code, etc. Keeps the resident files organized including contract, timely evaluations, disciplinary action, rotation schedules, etc.

On an annual basis, initiates and updates resident contracts. Distributes and maintains annual contracts for residents. Ensures residents complete USMLE Step 3 in order to be promoted to PGY-3 in compliance with the promotion policy

Completes verification forms (student loans, internship, residency enrollment, etc.) and reference forms for department residents

Required Qualifications
High school diploma or GED; five years secretarial experience with 3 years in a medical setting OR at least 12 months experience as a Medical Secretary at TTUHSC.
