Position Description
This position is responsible for assuring smooth operation of the clinic patient flow and serve as primary contacts for patients. Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Ability to communicate effectively with a variety of people. Ability to understand and follow instructions. Work is performed in usual clinic conditions and requires a high degree of contact of both direct with patients, HSC staff, and insurance companies. Employees have cash handling responsibilities.

Major/Essential Functions
  • Supervises 3 front office staff and ensures patient registration for Ortho clinics is prepared based on the clinic guidelines. To include updates on demographic and clinical information. Confirms that front office staff obtains and verifies insurance coverage and financial information prior to appointment/procedure
  • Preparation of clinics to include; printing of daily clinic schedules and add-on appointments and distributes to medical staff and medical records.  Notifies medical staff of any changes. Maintains required reports in the clinic. Keeps daily count of patients seen for the weekly and monthly statistical reports
  • Conducting daily clinics to include; receiving patients, making appropriate notations on medical records, completing sections on fee tickets as indicated and forwarding for processing. Checks billing information and makes corrections as necessary. Arrive all patients in the Centricity system
  • Receives all incoming calls for the clinic. Documents encounter on the Telephone Progress Note and forwards information to the appropriate staff for processing. Individuals requesting appointments must be processed according to department guidelines and financially screened before an appointment is made.  For prescription refills, work/school statements and other medical related activities, requests medical records and refers to the medical staff for immediate action

Pay Statement

Occasional Duties
  • Responsible for assisting, when assigned, in filling out financial assistance forms to include; requesting fee from patient, if applicable, requesting medical record, assuring the form is filled out completely, log in form in the Medical Records binder, submitting to physician for signature, and assuring form is either mailed or picked up by patient
  • Responsible for assisting, when assigned, in assisting patients, in person or by telephone, with any questions or concerns they might have regarding their account
  • Responsible for assisting, when assigned, in financially screening all surgical candidates prior to surgery and all patients prior to medical services being rendered in clinic to include; verifying insurance information, verifying co-pays and deductibles, obtaining preauthorization’s, screening and referring candidates to different government programs, and/or making financial arrangements with candidates. Documents action and/or arrangements made with patients on Surgery Request Form
  • Responsible for assisting, when assigned, in other areas of the financial section, on an "as needed" basis. Responsible for providing back-up coverage during leaves
  • Performs other related duties as required

Required Qualifications
  • High school diploma or equivalent
  • 3 years Customer Service, office or related experience, with 2 of those years in a healthcare or dental clinic setting preferred.
  • Additional education may substitute for the experience requirement
